Online Not-for-Profit & Charity Accounting Services — Anywhere in New Zealand

Mundax is a not-for-profit accountant New Zealand organisations trust for specialist Xero accounting, grant reporting and board-level financial reporting — delivered online, wherever your charity, trust or community group is based.

Not-for-profit accounting isn’t the same job as business bookkeeping. Trustees need reports they can actually use in a meeting. Funders need your numbers to match exactly what you told them in the application. And your accounts need to hold up to scrutiny from your board, your auditor and Charities Services alike. Mundax works with not-for-profit organisations right across New Zealand — entirely online through Xero — to keep the finance side running cleanly, so your board and your funders always have the reporting they need, when they need it. This sits alongside our core Xero accounting services for small businesses.

How We Work With You Remotely

Never meeting in person doesn’t mean a distant relationship. Here’s what working together actually looks like:

  1. A Free Video Consultation — We start with a call to understand your organisation, your current systems, your reporting obligations to funders and your board, and what “good” looks like for you.
  2. Set-Up, The Easy Way — We get you set up in Xero (or review what’s already there), connect your bank feeds and Hubdoc for bills and receipts, and agree a fixed-price package and reporting calendar before any work begins.
  3. Your Books, Kept Current — You send through paperwork as it comes in, or it flows straight through Hubdoc and your bank feed. We manage the day-to-day bookkeeping and reconciliation in the background, so nothing piles up.
  4. Reporting You Can Act On — Reports land in your inbox on the schedule that suits your organisation — monthly, quarterly, or whatever cadence works best for your board and funders — and we jump on a video call to walk your board or committee through the numbers whenever it’s useful.

A few things that matter to boards and trustees in particular:

  • Every transaction is recorded with a clear, auditable trail — exactly what your board, auditor or Charities Services expect to see.
  • You deal with one named accountant who knows your organisation, not a rotating team or call centre.
  • Being remote doesn’t mean slow — queries are answered within one business day, so you always know what to expect and when.
For Charities & Not-for-Profits

What We Offer Not-For-Profit Organisations Across New Zealand

Board-Level Financial Reporting

Clear, plain-English reports built for trustees and committee members, not accountants. We turn your Xero data into a reporting pack your board can genuinely use, so meetings focus on decisions and governance, not on interpreting spreadsheets.

Grant & Fund Reporting

Accurate, funder-ready reporting that matches exactly what was promised in the application, so drawdowns, acquittals and accountability reports are never a last-minute scramble. We track restricted and unrestricted funds separately in Xero, so you can always show a funder precisely how their money was spent.

Budgeting & Forecasting

Realistic annual budgets and rolling forecasts built around your actual funding cycles and programme costs, so you can plan with confidence and see the impact of a new grant, a new programme, or a shortfall before it happens.

Bookkeeping Oversight

Regular review and reconciliation of your books, whether they're maintained in-house, by a volunteer treasurer, or by us. You get accurate, up-to-date accounts you can rely on all year round, not just at year-end.

Xero Set-Up & Training for Not-for-Profits

Xero set up correctly from the start, with fund tracking, tracking categories and reporting structured around how your organisation actually operates, plus hands-on training for staff, volunteers and treasurers who need to use it.

Funding-Ready Financial Models

Three-statement financial models — profit & loss, balance sheet and cash flow — built to the standard funders, banks and grant panels expect, to support a credible, well-evidenced funding application.

Why Choose Us

Why Not-for-Profits Across New Zealand Choose Mundax

Mundax is the not-for-profit accountant New Zealand charities and trusts turn to, because we understand that not-for-profit accounting comes with obligations that generic bookkeeping doesn’t: annual returns to Charities Services, fund accounting that keeps restricted grants separate from general funds, and reporting that has to satisfy people who weren’t in the room when the money was spent. As a Xero Certified Partner and Xero Specialist (Level 3), and Syft Certified advisor, we combine the right technical tools with hands-on, personal support, so you always know your accountant, always know your fee, and always know exactly where your organisation stands.

Working entirely online means you get the same close, responsive service wherever your organisation is based in New Zealand. Xero’s cloud accounting, video calls and digital reporting mean there’s no need to be in the same room to get clear answers, fast turnarounds and reporting you can trust.
